By booking a group trip with Passport Poppin, LLC (“Passport Poppin,” “we,” “our,” or “us”), you (“traveler,” “guest,” or “you”) agree to the following Terms & Conditions. These Terms supersede all prior communications, representations, or agreements.

​

TRAVELER CONDUCT (PRIMARY CONDITION OF PARTICIPATION)

Participation in any Passport Poppin trip is conditional upon respectful, lawful, and cooperative behavior.

By booking, you agree:

  • To conduct yourself in a respectful and inclusive manner toward fellow travelers, hosts, vendors, hotel staff, and local communities

  • Not to engage in harassment, discrimination, threats, intimidation, unwanted physical contact, violence, illegal activity, excessive intoxication, or disruptive conduct

  • Not to damage hotel property, transportation vehicles, excursion equipment, or other property

Passport Poppin reserves the right, at its sole discretion, to remove any traveler from activities or from the trip entirely if behavior is deemed unsafe, disruptive, unlawful, or harmful to group cohesion.

Removal from the trip shall be without refund.

Any costs associated with early removal, including but not limited to return travel, accommodations, or incidentals, shall be the sole responsibility of the traveler.

Serious violations may be reported to hotel security or local authorities.

 

AGE REQUIREMENT

All travelers must be at least twenty-one (21) years of age at the time of departure. No minors are permitted under any circumstances. Bookings made in violation of this requirement may be canceled without refund.

RIGHT TO REFUSE SERVICE

Passport Poppin reserves the right to refuse service to any individual at its sole discretion prior to or during the trip.

 

MEDIA CONSENT

By participating, you grant Passport Poppin the irrevocable right to capture and use photographs, video, and audio recordings, including but not limited to marketing, advertising, and social media use, for promotional and commercial purposes in perpetuity without compensation.

 

TRAVEL PACKAGE STRUCTURE

Passport Poppin trips are sold as full-package group experiences.

Trip packages:

  • Are bundled and cannot be split, customized, prorated, or partially purchased

  • Include accommodations, group activities, planning, coordination, vendor contracts, and operational services

If you choose not to participate in any included portion of the trip, no refunds, credits, or reimbursements shall be issued.

​

OPTIONAL EXCURSIONS

Certain activities may be offered as optional add-ons and are not included in the base package price.

Participation is voluntary.

Optional excursions:

  • May be operated by third-party vendors

  • Are subject to availability, weather conditions, and vendor policies

No refunds shall be issued for optional activities that are declined, missed, or unused.

 

BOOKING, PAYMENT & AUTO-BILLING AUTHORIZATION

A non-refundable deposit is required to secure your booking. All payments are final and non-refundable.

By enrolling in a payment plan, you:

  • Agree to follow the automatic payment schedule in your WeTravel account

  • Authorize your saved payment method to be automatically charged on scheduled due dates

If payments are missed or declined:

Your reservation will be automatically canceled without refund.

Failure to complete all payments by the final deadline will result in forfeiture of all funds paid.

Passport Poppin reserves the right, but is not obligated, to cancel any reservation for missed, late, declined, reversed, or incomplete payments. Any cancellation for non-payment shall result in forfeiture of all amounts previously paid. Passport Poppin shall have no obligation to reinstate the reservation, regardless of subsequent payment.

 

PROCESSING FEES

Third-party processing fees apply to credit/debit card payments and are non-refundable.

ACH bank payments may be available at lower fees. Passport Poppin does not control or refund third-party processing fees.

CANCELLATIONS, REFUNDS & TRANSFERS

All cancellations must be submitted in writing.

All payments are:

  • Non-refundable

  • Non-transferable

This applies under all circumstances, including but not limited to:

  • Illness or injury

  • Missed flights

  • Personal emergencies

  • Work conflicts

  • Visa denial

  • Government restrictions

  • Travel advisories

  • Weather events

  • Natural disasters

  • Incorrect travel documents

  • Acts of God

  • Vendor changes

  • Global events

  • Political instability

No exceptions shall be made under any circumstances.

CHARGEBACKS & PAYMENT DISPUTES

By booking this trip, you acknowledge and agree to Passport Poppin’s strict no-refund policy and all terms outlined in this agreement.

You agree not to initiate or pursue any chargeback, payment dispute, or reversal with your bank, credit card company, or payment provider for any reason, including but not limited to:

  • Dissatisfaction with the experience

  • Failure to use any portion of the trip

  • Missed flights or travel delays

  • Personal emergencies

  • Disagreements with other travelers

  • Changes to itinerary or activities

In the event a chargeback or dispute is initiated:

  • Passport Poppin reserves the right to challenge the dispute with all supporting documentation, including this agreement

  • You agree to be responsible for any fees, costs, or penalties incurred by Passport Poppin as a result of the dispute

  • Passport Poppin reserves the right to pursue legal action to recover funds owed

By completing your booking, you acknowledge that you are voluntarily authorizing all charges and agree to these terms.

TRAVEL INSURANCE (HIGHLY RECOMMENDED)

Travel insurance is not included in your package price but is strongly recommended.

Travel insurance may be offered as an optional add-on during checkout for convenience. You are not required to purchase that policy and may select any travel insurance provider of your choice.

All travel insurance policies, including those offered during checkout, are issued by third-party providers and are not affiliated with Passport Poppin.

Passport Poppin is not responsible for:

  • Coverage terms

  • Claim approvals or denials

  • Policy limitations or exclusions

  • Reimbursement decisions

All insurance-related matters must be handled directly with the insurance provider.

AIRFARE & FLIGHT REQUIREMENTS

Airfare is not included in the group trip package.

Travelers are responsible for:

  • Booking their own flights

  • Selecting the correct airport as listed in their booking confirmation email

  • Ensuring flight dates and times align with the trip schedule

Travelers are required to:

  • Submit their flight details no later than 30 days prior to departure

  • Accurately provide flight information in the designated form 

Passport Poppin is not responsible for:

  • Flight delays, cancellations, or missed connections

  • Booking incorrect airports or incorrect travel dates

  • Transfer issues resulting from missing, late, or inaccurate flight information submission

  • Additional costs incurred due to flight-related issues

Airport transfers are only guaranteed for travelers arriving and departing within the designated transfer schedule. Travelers arriving outside designated transfer windows may be responsible for arranging and paying for their own transportation.

 

ROOMMATE POLICY & FINANCIAL RESPONSIBILITY

Travelers selecting shared accommodations must complete a roommate compatibility questionnaire if requesting assignment.

Passport Poppin will make reasonable efforts to match roommates but cannot guarantee compatibility.

If Passport Poppin is unable to assign a roommate, the traveler will receive a complimentary upgrade to a solo room at no additional cost.

Passport Poppin is not responsible for:

  • Personality conflicts

  • Lifestyle differences

  • Disagreements between roommates

If traveling with another person and the roommate cancels:

The remaining traveler must accept reassignment (if available) or upgrade to a solo room at their expense.

Each traveler is financially responsible for:

  • Damages

  • Incidentals

  • Unpaid balances at the hotel

Hotels routinely require a credit or debit card upon check-in to cover incidental expenses or security deposits. Travelers are solely responsible for any incidental charges, damages, room service, minibar purchases, or other personal expenses incurred during their stay. If one traveler voluntarily places their payment card on file for a shared room, Passport Poppin assumes no responsibility for reimbursement disputes between roommates or other travelers.

Passport Poppin may, at its sole discretion, attempt to facilitate communication between roommates. Passport Poppin is under no obligation to mediate, resolve, or provide alternate accommodations.

 

CHECK-IN, CHECK-OUT & INCIDENTALS

Hotel check-in and check-out times are determined by the property and will be communicated prior to travel.

Travelers are responsible for:

  • Any fees associated with early check-in or late check-out

  • Security deposits or incidental holds required by the hotel

  • Charges for damages, room service, or additional services

Passport Poppin is not responsible for hotel-imposed fees or policies.

TRAVEL DOCUMENTS, VISAS & VACCINATIONS

Travelers are solely responsible for obtaining:

  • Valid passports (minimum six months validity beyond return date)

  • Required visas

  • Entry permits

  • Vaccinations

  • Health documentation

Failure to comply may result in denied boarding or entry. No refunds shall be issued.

HEALTH, FITNESS & MOBILITY REQUIREMENTS

Trips may include:

  • Walking

  • Stairs

  • Hiking

  • Climbing

  • Uneven terrain

  • Water activities

  • Extended travel times

Passport Poppin cannot modify itineraries or guarantee accessibility.

By booking, you confirm you are physically able to participate. Passport Poppin is not responsible for medical care.

 

DIETARY RESTRICTIONS & MEDICAL NEEDS

Travelers must disclose serious conditions in advance.

Passport Poppin will attempt to communicate needs but cannot guarantee accommodations.

Passport Poppin is not liable for:

  • Allergic reactions

  • Food preparation practices

  • Vendor limitations

 

ITINERARY CHANGES

All itineraries and hotels are subject to change and are not guaranteed.

Passport Poppin reserves the right to modify the itinerary, including:

  • Activities

  • Hotel Accommodations

  • Schedules

  • Airport transportation

Passport Poppin reserves the right to substitute hotels with accommodations of comparable quality, category, or location without liability or compensation.

Changes may occur due to:

  • Weather

  • Safety concerns

  • Vendor availability

  • Operational needs

Alternative arrangements may be provided when possible.

LATE ARRIVALS & EARLY DEPARTURES

Travelers arriving late or departing early may miss scheduled activities.

No refunds or credits shall be issued for missed portions of the trip.

 

NO GUARANTEE OF EXPERIENCE 

Passport Poppin does not guarantee any particular experience, atmosphere, group dynamic, friendships, weather conditions, social interactions, personal enjoyment, or compatibility with other travelers.

​

INDEPENDENT TRAVELER RESPONSIBILITY

Travelers remain responsible for exercising reasonable judgment, following local laws, obeying safety instructions, and protecting their own personal belongings throughout the trip. Travelers who choose to separate from the group itinerary, arrive late, depart early, or participate in activities not arranged by Passport Poppin do so at their own risk. Passport Poppin assumes no responsibility for activities, transportation, accommodations, or incidents occurring outside the published group itinerary.

 

ON-SITE HOST ROLE

Passport Poppin may provide one or more on-site hosts to assist with coordination of group activities, facilitate communication with local vendors, and provide general trip support.

On-site hosts are not licensed tour guides, security personnel, medical professionals, counselors, or personal assistants.

Hosts do not supervise travelers, assume custody or control of participants, guarantee traveler safety, resolve all interpersonal conflicts, provide transportation outside the published itinerary, or assume responsibility for the independent actions of travelers.

Travelers remain solely responsible for their own decisions, conduct, personal belongings, health, and safety throughout the trip.

GUEST RESPONSIBILITY TO REPORT PROBLEMS

Travelers agree to promptly notify Passport Poppin or the on-site host of any safety concern, room issue, transportation issue, injury, or other material problem during the trip so that Passport Poppin has a reasonable opportunity to address it. Passport Poppin is not responsible for claims based on issues that were not reported during the trip when there was a reasonable opportunity to do so.

LOST PROPERTY

Passport Poppin is not responsible for lost, stolen, damaged, or misplaced luggage, passports, electronics, money, jewelry, medications, or personal property.

​

RISK ACKNOWLEDGMENT & THIRD-PARTY VENDORS

Passport Poppin works with independent third-party vendors. These vendors are not employees or agents of Passport Poppin.

Travel involves inherent risks, including:

  • Injury

  • Illness

  • Accidents

  • Delays

  • Weather events

  • Criminal activity

By booking, you voluntarily assume all risks.

Passport Poppin is not liable for:

  • Injury

  • Loss

  • Damage

  • Delays

  • Death

  • Illness

  • Inconvenience

 

OPTIONAL ACTIVITIES: 

Travelers choosing to participate in optional activities do so voluntarily and assume all associated risks. They also assume any risks associated with traveling with the other participants on the trip. 

​

EMERGENCY ASSISTANCE:

Passport Poppin may assist travelers in locating medical providers, embassies, transportation, or other emergency resources as a courtesy. Any such assistance does not create a legal duty or responsibility, and Passport Poppin is not responsible for the quality, availability, or outcome of third-party services.

​

LIMITATION OF LIABILITY

To the fullest extent permitted by law:

Passport Poppin’s total liability shall not exceed the total amount paid by the traveler.

Passport Poppin is not liable for:

  • Indirect damages

  • Incidental damages

  • Consequential damages

  • Punitive damages

 

RELEASE OF LIABILITY:

To the fullest extent permitted by law, you release and discharge Passport Poppin, its owners, employees, contractors, hosts, agents, and representatives from any and all claims arising out of or relating to your participation in the trip, except where prohibited by applicable law or caused by Passport Poppin's gross negligence or willful misconduct.

​

FORCE MAJEURE

Passport Poppin is not liable for events beyond its control, including:

  • Natural disasters

  • Pandemics

  • Government actions

  • Travel bans

  • Civil unrest

  • Weather

  • Transportation interruptions

These events do not entitle travelers to refunds. Passport Poppin may cancel, postpone, shorten, extend, reroute, or otherwise modify any trip due to Force Majeure events without liability.

​

INDEMNIFICATION

You agree to indemnify and hold harmless Passport Poppin from any claims arising from your participation.

 

ARBITRATION & GOVERNING LAW

All disputes shall be resolved through binding arbitration in the State of Maryland.

You waive:

  • Jury trial

  • Class action participation: Any claim must be brought solely in the traveler's individual capacity and not as a plaintiff or class member in any purported class, representative, collective, or consolidated proceeding.

The prevailing party shall be entitled to recover reasonable attorneys' fees, arbitration costs, court costs (if applicable), and collection expenses.

 

ENTIRE AGREEMENT:

These Terms & Conditions constitute the entire agreement between Passport Poppin and the traveler and supersede all prior oral or written communications, advertisements, representations, or understandings.

 

RELIANCE DISCLAIMER 

Travelers acknowledge they have not relied upon any verbal statements, marketing materials, social media content, or representations not expressly contained in these Terms.

​

SEVERABILITY

If any provision is deemed unenforceable, the remaining provisions shall remain in effect.

​

ACKNOWLEDGMENT

By booking this trip, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
