By booking a group trip with Passport Poppin, LLC (“Passport Poppin,” “we,” “our,” or “us”), you (“traveler,” “guest,” or “you”) agree to the following Terms & Conditions. These Terms supersede all prior communications, representations, or agreements.

 

TRAVELER CONDUCT (PRIMARY CONDITION OF PARTICIPATION)

Participation in any Passport Poppin trip is conditional upon respectful, lawful, and cooperative behavior.

By booking, you agree:

  • To conduct yourself in a respectful and inclusive manner toward fellow travelers, hosts, vendors, hotel staff, and local communities.
     

  • Not to engage in harassment, discrimination, threats, intimidation, unwanted physical contact, violence, illegal activity, excessive intoxication, or disruptive conduct.
     

  • Not to damage hotel property, transportation vehicles, excursion equipment, or other property.
     

Passport Poppin reserves the right, at its sole discretion, to remove any traveler from activities or from the trip entirely if behavior is deemed unsafe, disruptive, unlawful, or harmful to group cohesion.

Removal from the trip will be without refund.

Serious violations may be reported to hotel security or local authorities.

 

AGE REQUIREMENT

All travelers must be at least twenty-one (21) years of age at the time of departure.

No minors or individuals under 21 are permitted under any circumstances.

Bookings made in violation of this requirement may be canceled without refund.

 

MEDIA CONSENT

By participating, you grant Passport Poppin the irrevocable right to capture and use photographs, video, and audio recordings for promotional and commercial purposes in perpetuity without compensation.

 

TRAVEL PACKAGE STRUCTURE 

Passport Poppin trips are sold as full-package group experiences.

Trip packages are bundled and cannot be split, customized, prorated, or partially purchased.

The package price includes accommodations, group activities, planning, coordination, vendor contracts, and operational services.

If you choose not to participate in any included activity or experience, that is your personal decision; however, no refunds, credits, or partial reimbursements will be issued.

 

BOOKING, PAYMENT & AUTO-BILLING AUTHORIZATION

A non-refundable deposit is required to secure booking.

All payments are final and non-refundable.

By enrolling in a payment plan, you agree to follow the automatic payment schedule displayed in your WeTravel account at passportpoppin.wetravel.com

You authorize your saved payment method to be automatically charged on scheduled due dates unless you submit payment earlier or written arrangements are approved.

If payments are missed or declined, Passport Poppin may cancel your reservation without refund.

Failure to complete all payments by the final deadline may result in forfeiture of all amounts paid.

 

Processing Fees

Third-party processing fees apply to credit/debit card payments and are non-refundable.

If you wish to reduce fees, you may connect ACH bank payments, which typically carry lower processing fees.

Passport Poppin does not control or refund third-party processing fees.

 

CANCELLATIONS, REFUNDS &  TRANSFERS

All cancellations must be received in writing. 

All payments are non-refundable and non-transferable under any circumstances, including but not limited to:

  • Illness or injury, Missed flights, Personal emergencies, Work conflicts, Visa denial, Government restrictions, Travel advisories, Weather events, Natural disasters, Incorrect travel documents, Acts of God, Vendor changes, Global events, Political instability

No refunds, credits, transfers, or exceptions will be made for any reason.

 

ROOMMATE POLICY & FINANCIAL RESPONSIBILITY

Travelers who select shared accommodations and request roommate matching must complete the required roommate compatibility questionnaire.

Passport Poppin thoughtfully assigns roommates based on compatibility indicators and lifestyle preferences; however, compatibility cannot be guaranteed.

Passport Poppin is not responsible for personality conflicts, disagreements, lifestyle differences, or interpersonal disputes between roommates.

If a traveler chooses not to complete the roommate questionnaire, they must upgrade to a solo room at the applicable rate.

If Passport Poppin is unable to find a compatible roommate at the time, the traveler will be upgraded to a solo room at no additional charge.

If a traveler books with a chosen roommate and that roommate cancels:

The remaining traveler must either:

  • Accept a newly assigned roommate (if available), or

  • Upgrade to a solo room and pay any applicable difference.

Each roommate is financially responsible for:

  • Any damages to the room

  • Any incidental charges

  • Any unpaid balances caused by their conduct

  • Any cancellation impact affecting room pricing
     

Hotels may require credit card authorization or incidental deposits at check-in. These are the responsibility of each traveler.

Any guest engaging in harassment, intimidation, theft, violence, or misconduct may be removed from the room and/or trip without refund.

Passport Poppin reserves the right to take any action necessary to protect guest safety.

 

TRAVEL DOCUMENTS, VISAS & VACCINATIONS

Travelers are solely responsible for obtaining:

  • Valid passports (minimum six months validity beyond return date)
     

  • Required visas
     

  • Entry permits
     

  • Required vaccinations
     

  • Health documentation
     

  • Compliance with country-specific requirements
     

These are not included in the pricing and Passport Poppin is not responsible for these requirements. Failure to comply may result in denied boarding or denied entry. No refunds will be issued.

 

DIETARY RESTRICTIONS & MEDICAL NEEDS

Travelers must disclose serious medical conditions and dietary restrictions prior to departure.

Passport Poppin will make a good faith effort to communicate dietary restrictions to vendors; however, accommodations cannot be guaranteed.

Passport Poppin is not liable for allergic reactions, food preparation practices, or vendor limitations.

Travelers are responsible for managing their own medical and dietary needs.

 

HEALTH, FITNESS & MOBILITY REQUIREMENTS

Passport Poppin trips follow fixed itineraries and may include:

  • Extensive walking
     

  • Climbing stairs
     

  • Uneven terrain
     

  • Long transportation periods
     

  • Outdoor excursions
     

  • Standing for extended durations
     

  • Water-based activities
     

Trips may not be suitable for individuals with mobility limitations or certain medical conditions.

Passport Poppin cannot modify itineraries or guarantee wheelchair accessibility.

Wheelchair accommodations and mobility assistance may not be available depending on destination infrastructure.

By booking, you certify that you are physically capable of participating and able to independently manage your mobility and personal needs.

Passport Poppin is not responsible for medical care or treatment.

 

RISK ACKNOWLEDGMENT, THIRD-PARTY VENDORS & RELEASE

Passport Poppin coordinates services through independent third-party vendors.

These vendors are not agents or employees of Passport Poppin.

Travel involves inherent risks, including but not limited to transportation accidents, illness, injury, political instability, weather events, criminal activity, and equipment failure.

You voluntarily assume all risks.

Passport Poppin shall not be liable for injury, illness, death, loss, damage, delay, or inconvenience arising from third-party acts or participation in activities.

 

LIMITATION OF LIABILITY

To the fullest extent permitted by law, Passport Poppin’s total liability for any claim shall not exceed the total amount paid by the traveler.

Passport Poppin shall not be liable for indirect, consequential, incidental, special, or punitive damages.

 

FORCE MAJEURE

Passport Poppin shall not be liable for failure to perform due to events beyond its reasonable control, including but not limited to:

  • Natural disasters

  •  Acts of God

  • Pandemics

  • Government actions

  • Travel bans

  • Civil unrest

  • Terrorism

  • Strikes

  • Transportation interruptions

  • Vendor insolvency

  • Weather events

Such events shall not entitle travelers to refunds.

 

INDEMNIFICATION

You agree to indemnify and hold harmless Passport Poppin from claims arising from your participation.

 

ARBITRATION & GOVERNING LAW

All disputes shall be resolved through binding arbitration in Washington, D.C., governed by District of Columbia law.

You waive jury trial and class actions.

 

SEVERABILITY

If any provision is deemed unenforceable, remaining provisions remain in effect.

 

ACKNOWLEDGMENT 

By booking, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
