terms & conditions

By booking a group trip with Passport Poppin, LLC ("we," "our," or "us"), you (the "traveler" or "guest") agree to the terms and conditions set forth herein. These Terms & Conditions supersede and void any prior agreements.

MEDIA CONSENT By participating in this trip, you grant Passport Poppin, LLC permission to capture and use images, video, or audio recordings of you for promotional and commercial purposes, in perpetuity.

TRIP INCLUSIONS Each trip includes specific items listed on its individual booking page. At a minimum, all trips include:

  • Hotel accommodations

  • Airport transfers on the designated arrival/departure dates and to/from the designated airport

  • Curated activities and excursions as listed

  • Support via email and group communication (e.g., GroupMe)

Passport Poppin reserves the right to adjust the itinerary as needed for safety, logistics, or vendor reasons.

ADDITIONAL EXPENSES Unless otherwise stated, trip packages do not include:

  • Meals and beverages outside the specified inclusions (some hotels may not be all-inclusive)

  • Transportation for arrival or departure on dates outside the designated group dates

  • Early check-in or late check-out hotel charges

  • Optional or personal activities not listed in the itinerary

These expenses are the sole responsibility of the traveler.

 

THIRD-PARTY VENDORS & LIABILITY DISCLAIMER Passport Poppin, LLC partners with independent, locally owned service providers for transportation, excursions, and other in-destination experiences. While we vet and coordinate these services for your convenience, they operate independently and are not employees, agents, or subsidiaries of Passport Poppin, LLC.

By participating in any tour, transfer, or activity arranged through a local vendor, you acknowledge that Passport Poppin is not responsible for any injury, illness, loss, accident, delay, or death that may occur due to the actions or negligence of these third parties. This includes but is not limited to car accidents, water-related incidents, equipment failure, or unsafe conditions.

You agree to participate at your own risk and are encouraged to purchase travel insurance to help protect against such unforeseen events.​

 

TRAVELER CONDUCT All guests are expected to uphold a respectful, inclusive, and positive environment. Unsafe or disruptive behavior may result in removal from group activities without refund or credit. No refunds will be issued to any traveler removed from the trip due to misconduct.

BOOKING & PAYMENT TERMS

  • A non-refundable deposit is required to reserve your spot.

  • Bookings may be paid in full or via an installment plan with automated billing through WeTravel.

  • Failure to pay by the listed deadlines may result in cancellation of your booking without refund.

  • All payments are non-refundable. However, cancellations made at least 6 months prior to departure may receive a travel credit for a future Passport Poppin trip, minus the deposit.

You agree not to dispute or reverse charges (i.e., chargeback) unless fraudulently charged. If you have any concerns with your payment, you agree to contact us directly first to resolve the matter.

 

TRAVEL INSURANCE Travel insurance is strongly recommended. Passport Poppin is not responsible for any expenses incurred due to cancellation, delay, medical issues, or denied entry. Insurance may be purchased via our affiliate link; however, coverage remains the responsibility of the traveler.

TRAVEL DOCUMENTS & FLIGHTS

  • Flights are not included in your package. You are responsible for booking your own flights and submitting your travel itinerary no later than 2 weeks before departure.

  • You must have a valid passport with at least 6 months validity beyond your return date. You are responsible for checking and obtaining any necessary visas or entry requirements.

  • Passport Poppin is not responsible for missed services due to delayed or canceled flights. No refunds or credits will be issued for missed activities.​

 

ACTIVITIES, ACCESSIBILITY & HEALTH

  • The trip itinerary is pre-set and may include walking, swimming, or outdoor elements. Travelers are responsible for ensuring they are physically able to participate.

  • Not all activities may be suitable for travelers who are pregnant, have recent surgeries, heart conditions, or require mobility accommodations.

  • You agree to participate at your own discretion and risk.​

 

CANCELLATION & FORCE MAJEURE If the trip must be canceled or rescheduled due to weather, travel restrictions (e.g. COVID-19), or safety concerns, funds will be converted into a travel credit valid for 12 months from the date of issue. Credits are non-transferable and no cash refunds will be issued unless otherwise required by law. This ensures that pre-paid vendor commitments can be preserved and your funds can be applied to a future trip.

If rescheduled dates are offered and you are unable to attend, the credit may still be applied to another Passport Poppin group trip within the 12-month window.

ADDITIONAL HOTEL CHARGES

  • Any hotel taxes, eco fees, or resort fees due at check-in are the guest’s responsibility.

  • Room upgrades or add-ons will be charged separately to the guest.

BOOKING ACCURACY & RESPONSIBILITY Travelers are responsible for providing accurate legal names and contact details at booking. Any correction requests must be made within 48 hours. Passport Poppin is not liable for entry denial or added costs due to incorrect information.

ACTIVITY WAIVER & LIABILITY You acknowledge that participation in excursions and activities involves inherent risk. Passport Poppin shall not be held liable for injuries, illness, delays, theft, or damages sustained during travel.​

 

PREGNANCY & SPECIAL NEEDS Pregnant travelers and those with health concerns are advised to consult with a physician before booking. Guests with disabilities must verify accessibility directly with hotels and activity vendors. Passport Poppin makes no guarantees of accessibility compliance.

LATE ARRIVALS & EARLY DEPARTURES Passport Poppin is not responsible for missed activities or accommodations due to delayed travel, missed flights, or early departures. No partial refunds or credits will be issued for unused services.​

 

MANDATORY ARBITRATION & JURISDICTION All disputes arising under these Terms shall be resolved by binding arbitration in Washington, D.C., under the rules of the American Arbitration Association. Neither party shall pursue a class action or consolidated claim. If a traveler files a claim outside of arbitration, they agree to be responsible for all legal fees and costs incurred by Passport Poppin to enforce arbitration.

ACKNOWLEDGEMENT & SIGNATURE By submitting your booking and/or electronically signing this agreement, you acknowledge and agree to these Terms & Conditions. This document represents the entire agreement between you and Passport Poppin, LLC.
